Email vs. SMS Follow-Up: Which Channel Actually Books Appointments?

SMS opens at 98%. Email converts at 3–5%. The secret is using each for what it's actually good at.

The follow-up channel debate usually devolves into 'email is dead' or 'SMS is spam.' Neither is true. SMS has a 98% open rate and a 45% response rate, but it also has a 0.3% unsubscribe rate per send. Email has a 20% open rate and a 3–5% conversion rate, but it's cheap, long-form, and searchable. The best contractors use both — deliberately.

SMS: speed and urgency

SMS wins when the lead is hot and the action is simple. Use it for: immediate acknowledgment of a form submission, appointment reminders 24 hours out, and review requests within 2 hours of job completion. Keep messages under 160 characters, include a first name, and always provide an opt-out.

  • Immediate auto-reply: 'Thanks [Name]. We received your [Service] request and will call within 15 minutes.'
  • Reminder: '[Name], your [Service] estimate is tomorrow at 2 PM. Reply C to confirm or R to reschedule.'

Email: depth and nurturing

Email wins when the prospect needs education, comparison, or time to decide. Use it for: estimate follow-ups with case studies, seasonal maintenance reminders, and long-term nurture sequences for leads who aren't ready yet.

The follow-up sequence that works

  1. Minute 0: SMS auto-reply acknowledging the inquiry
  2. Hour 1: Human phone call (the highest-converting action)
  3. Day 1: Email with estimate summary and next steps
  4. Day 3: SMS check-in if no reply — 'Hi [Name], quick question about your estimate'
  5. Day 7: Email with a relevant case study or testimonial
  6. Day 14: SMS final follow-up — 'Still interested? We're booking [Month] now.'
